How Do You Know a Site Is Actually Ready for New Equipment?


Quick answer. A site is ready when somebody has physically looked at it, not when the records say it is. Three things decide whether new equipment goes in on the first trip: what cabling is actually in the walls today, whether there is an accessible pathway to the spot the device is going, and whether that spot has the clearance the unit needs. A short on-site survey answers all three, and it costs a fraction of the second truck roll it prevents.

Corporate signs off on the new point-of-sale. Or the kiosks, or the drive-thru gear, or the menu boards. Hardware gets ordered against a floor plan and an asset record, dates get set, and the rollout lands on IT.

Then a technician puts up a ladder and the building disagrees with the paperwork.

We see it in almost every portfolio we walk. At one site the client's records showed four access points on a switch. Our tech found three. At another, their project manager had told the landlord the space was CAT7. Our tech confirmed CAT6, and CAT5e on a different floor. Their own engineer's reply was that he did not want anyone told they had magical CAT7 cabling. Somewhere else, the site record listed the access points as "probably on the first floor, but please confirm."

None of that is really anyone's fault. Records get created once, then the building keeps changing and nobody updates the file. A tech with a ladder is the only source of truth, and most portfolios have not had one in the ceiling in years.

Why this matters as you scale

One wrong assumption at one store is a bad afternoon. The same wrong assumption written into an equipment order for two hundred stores is a program.

The two most expensive failures we have on file were both knowable from a twenty-minute site walk. On one, an install went to indefinite hold because the wall was too thick for the unit that had been specified. On another, hardware that needed rear service access got ordered for a spot with no clearance behind it at all. Neither was a hard problem. Both were found by a technician standing in the room on install day, which is the most expensive place to find them.

Ceiling construction is the question nobody volunteers. Drop ceiling means accessible pathway and a predictable pull. Hard lid means fishing walls, more labor, sometimes surface raceway, and a materially different number. We have now watched the same thing at two sibling sites in one portfolio: the whole space is drop ceiling except the one area where the new equipment goes. That is a pattern, not bad luck.

What it costs shows up in trips, not in the work itself. One clean, scoped, single-visit call in our records closed at $568.75. The same category of work at another site, allowed to run on repeat visits and undefined scope, closed at $17,450, which was 130 technician-hours plus travel. Nothing about the actual task changed between those two numbers. Trip count and scope definition are the whole difference.

What we see in the field

A client asked us to price a full build at one of their sites: new CAT6 throughout, coax to the displays, ceiling support, a new network closet with a floor rack, evening turn-up, first-day support. Priced off the drawings, it came to $24,510 in labor and $9,889 in materials. Call it $34,400.

Then we surveyed it. The space was already cabled. We rebuilt the quote around what was actually there: reuse the existing drops and the existing rack, pull two CAT6 for wireless, ten coax runs, one CAT6 for the A/V vendor, evening turn-up, first-day support. That came to $8,550 in labor and $1,819 in materials, about $10,400. We handed back roughly $24,000 we had already quoted and could have collected.

The lesson underneath that one we paid for ourselves, at a different site. Our tech pulled two brand-new CAT6 drops, then found existing usable jacks a short distance away. He terminated the endpoints on the existing cabling, left the new cable coiled above the ceiling for future use, and the client got working devices that day plus spare capacity for the next project. Good outcome. It also means we ran cable nobody needed, because we had not looked first either. The drop you were hired to install is frequently not the drop the site actually needs, and we did not learn that from a best practices document.

Third, confirm the unit fits with the service clearance it needs, in the exact position the drawing shows. Wall thickness and rear clearance are cheap to check now and expensive to discover later.
